As convenient as you think it might be, choosing a venue in a city CBD can actually have the opposite effect… I recently attended a workshop in a Perth CBD hotel, a half day event with morning tea and refreshments provided. Sometimes when you work for a function centre venue, its great to be a delegate at a different venue. You start to appreciate the little things that can either make or break how you view the event.
My top three overlooked factors in organizing events are:
- Timing. So for starters, I live north of the river and very much appreciated the fact that this workshop started at 9.30 – a great touch by the organisers as it means people traveling into the city don’t get caught in the horrific peak hour traffic. Little details like that reduce the stress of your delegates, and relaxed delegates learn better.
- Parking. What a nightmare. City parking drives me nuts. I don’t know the streets well, my ‘Sat Nav’ doesn’t keep up with whatever road works are in place and generally I have to sneak out early to ensure I don’t get fined in the maximum three hour parking limits. Stressed delegate, and I missed half of the last section through clock-watching and the familiar ‘parking attendant panic’.
- Signage. I’m running late because of the road works, the parking ticket machine wouldn’t take my card, I find myself in the lobby of the hotel and I’m randomly looking for some direction on where to go. Only after I have queued at the Reception desk for directions do I notice the small A4 sign on the back wall with a faint arrow pointing towards a corridor. Stressed delegate, once again.
As a conference/meeting/workshop organizer, you should never underestimate the importance of these details – the mindset that your delegates arrive in seriously can make or break the effectiveness of your meeting. I’m pleased to say that the workshop I attended was invaluable; extremely knowledgeable presenters delivered great content very well. But as for my overall experience… it wasn’t a ‘WOW’ factor. And I wouldn’t be rushing back.
So next time you’re looking for a venue, consider these ‘small’ details. They can have a HUGE impact.
